As Personal Assistant (PA) to the Managing Partner, you will play a critical role in ensuring the efficient management of their professional and personal commitments. You will be a trusted partner in enabling the smooth execution of strategic initiatives, maintaining high-level relationships, and facilitating the day-to-day operations of the Managing Partner’s office.

Role Summary

This role requires a highly organized, proactive, and resourceful individual who thrives in a high-performance environment. As the first point of contact for the Managing Partner, you will handle confidential matters with professionalism and discretion while ensuring the seamless operation of their office.

Key Responsibilities

Executive Support

  • Manage the Managing Partner’s schedule, including coordinating meetings, appointments, and travel arrangements (both domestic and international).
  • Act as the gatekeeper, handling incoming correspondence, calls, and requests with tact and prioritizing them effectively.
  • Prepare briefing documents, agendas, and meeting minutes, ensuring the Managing Partner is always well-prepared.
  • Manage and organize legal and business documents, ensuring compliance with confidentiality and firm policies.
  1. Operational and Administrative Tasks
  • Coordinate with department heads, clients, and external stakeholders on behalf of the Managing Partner.
  • Handle expense reports, invoicing, and budget tracking for the Managing Partner’s office.
  • Monitor deadlines, key deliverables, and action items related to the Managing Partner’s projects and strategic goals.
  • Provide administrative support on client-facing tasks, such as preparing presentations and correspondence.
  1. Relationship Management
  • Build and maintain relationships with clients, stakeholders, and team members on behalf of the Managing Partner.
  • Represent the Managing Partner professionally in all interactions, both internal and external.
  1. Strategic Involvement
  • Assist with the execution of strategic initiatives, including research, project tracking, and preparing reports.
  • Collaborate with other team members to support the firm’s objectives and maintain operational efficiency.
  1. Personal Support
  • Occasionally assist with personal tasks and commitments as required, ensuring the Managing Partner’s overall efficiency.

Key Skills and Qualifications

  • Experience: 2+ years of experience as an Executive Assistant or Personal Assistant in a law firm, professional services firm, or corporate environment.
  • Education: Bachelor’s degree preferred; additional certifications (e.g., Executive Assistant/Secretarial qualifications) are a plus.
  • Organizational Excellence: Exceptional organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
  • Communication Skills: Strong written and verbal communication abilities, with a professional and approachable demeanor.
  • Discretion: Proven ability to handle sensitive and confidential information with the utmost discretion.
  • Proactive Problem Solver: A forward-thinker who can anticipate needs and independently resolve issues.
  • Tech-Savvy: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools; familiarity with legal software is an advantage.
  • Client Focus: Exceptional interpersonal skills and a commitment to maintaining the highest levels of client service.
  • Flexibility: Willingness to adapt to the Managing Partner’s evolving needs, including occasional availability outside of regular office hours.
